Stop chasing clients for documents
Send one checklist. Clients upload through a secure link — no account, no password, nothing to install. Automated reminders do the follow-up while you review and approve from a single board.
Request Management
Manage document requests through visual workflow stages
Document collection is a follow-up job, not a filing job
The documents aren't hard to handle. Getting them out of your client's hands is. That work is where the week goes — and it's the part FileOnion takes over.
Five emails, three attachments in two formats, one file that turned out to be last year's. Nobody knows what's still outstanding without opening the thread.
One link, one live checklist. You see what's in, what's outstanding and when the next nudge goes out — without asking anyone.
Your clients never need an account
Every request carries a secure link. Your client clicks it — on a phone, in a waiting room, at midnight — and lands in a portal wearing your logo that shows exactly what's still needed. They upload. That's the whole flow.

Auto review catches the wrong file before you do
Switch it on and every upload is checked against the document it was filed under. Your client sees the verdict the moment they upload — so the blurry passport gets re-scanned while they are still in the portal, not after you open it three days later.

Type what you're working on in plain language and the AI builder drafts a scoped document set — with per-document instructions — that you edit before it goes out. Or start from one of 22 industry templates and make it your own.

The follow-up runs itself
Set a cadence once — daily through weekly — and FileOnion emails your client until the documents land. Every reminder carries a direct link straight back into the portal.
Request sent
Maya gets her secure link on the channel you picked for her — email, SMS or WhatsApp.
First reminder
Two items are still outstanding, so the nudge names them. Received items are never re-asked.
Due-date reminder
As the due date approaches the cadence tightens automatically — and expiry gets its own warning.
All four documents in
Reminders stop on their own. The request moves to Needs Review and lands on your board.
Review without downloading a thing
Documents open in the browser — PDFs, Word files, spreadsheets. Approve or reject each item on its own, and leave a comment on the specific file rather than in an email thread nobody can find later.
Everything that needs you, at the top
FileOnion triages before it lists. Overdue requests, files waiting on review and clients who've gone quiet float up on their own — you open the app already knowing what to do.

Then push it through your own stages
Drag a request across a board you define. Stage changes can fire actions on their own — send an email, assign a reviewer, call a webhook, flip a status.
And file it where it belongs
Approved documents land in the file manager, organized by client and matter, shareable back to the client, encrypted and audit-logged the whole way.
The checklist already exists for your work
The template library spans immigration, tax & accounting, mortgage & real estate, legal and HR — 22 packets, 174 documents, ready to send today and yours to edit.

Client files carry passports, medical records and financials. The security model is the product, not a settings page.
Encrypted end to end
Files are encrypted in transit and at rest. Downloads run through short-lived signed URLs — no permanent public link ever exists.
Tenant isolation, enforced server-side
Every read and write is scoped to your organization at the data layer — not filtered in the browser. One firm can never see another's documents.
Audit-logged access
Who uploaded, who viewed, who downloaded, who approved — with names, not user ids. Exportable for compliance reviews.
Access levels per client
Choose secure link, link plus a one-time code, or full sign-in — matter by matter, not account-wide.
SSO and custom roles
SAML and OIDC single sign-on with role-based permissions on the Enterprise plan, for teams that answer to IT.

The questions everyone asks
Do my clients really not need an account?
Correct. Each request carries a secure link that opens their portal directly. If a matter is sensitive you can raise it to link plus a one-time code, or require full sign-in — per client, not for everyone.
How long is the trial, and what does it cost?
15 days on any plan, no credit card. If you don't convert, the account simply stops — nothing is charged and nothing is auto-renewed.
What does the AI actually do?
It turns a plain-language description of the matter into a draft document checklist with per-item instructions and a request title. You review and edit before anything is sent. Your clients' documents are never used to train a model.
Can I bring my existing checklists?
Yes — build a template once, reuse it forever, and share it with your team. The library ships with 22 packets across five industries as a starting point.
Where do the files actually live?
Encrypted in your organization's isolated storage, reachable only through short-lived signed URLs. You can export everything, and deletion is real deletion.
How do reminders reach my clients?
The first notification goes out on the channel set on the client record — email, SMS or WhatsApp. The recurring reminder cadence that chases outstanding documents is email.
Send your first request in two minutes
